1.    Purpose

These procedures will guide {INSERT TEAM NAME} through list process(es)

5.1.       Adding Enrollment Levels

Actors

  • User with appropriate permissions
  • Regent Award

Pre-condition (The planning process when adding a new or updating existing enrollment level and documenting other configuration areas that need to be updated)

  • Enrollment Level does not exist in Regent Award.
  • Enrollment is added to the [Client] EnrollmentLevel_Setup_Template


Basic Flow

  1. The user creates a Customer Zone (CZ) ticket requesting Regent to copy the Production data to the QA environment.
  2. Regent Account Manager updates CZ ticket once the restore is completed.
  3. The user adds the Enrollment Level in the QA environment:
    1. To navigates to the Enrollment Level Setup
      1. Click on Administration
      2. Click on Enterprise Setup 
      3. Click on Institution Setup  
      4. Click on Campus Setup 
      5. Click on the Enrollment Level 
      6. Click on the “Add Enrollment Level” button
  4. Enter “Name” and “External Enrollment Level ID”
  5. Define the number of units for each enrollment level for the following (as applicable:). 
    1. Full Time Maximum and Minimum
    2. ¾ Maximum and Minimum
    3. ½ Maximum and Minimum
    4. ¾ Maximum and Minimum
    5. Less than ½ Maximum and Minimum
  6. Under Anticipated Enrollment define the number of units and courses to use for anticipation packaging for each enrollment level.
  7. Click “Save”
  • NOTE: Schools can choose to configure either number of units or number of courses.
  • NOTE: Enrollment levels will be assigned to programs during the Program Configuration process. Refer to the Program Profile Maintenance Operational Guidebook.  


After all the Enrollment Levels have been added, the user performs the following steps:

  1. Click on Administration
  2. Click on the Enterprise level
  3. Click on the Reload RNA Setup button

NOTE: After making changes to ANY section of the configuration setup, clicking on the Reload RNA Setup button will apply and activate the changes in the system. 

  1. The User validates the updated information in QA.
  2. Once the user validates the configuration and ensures accuracy, the user will make the same changes in Production.

Post-conditions

  • The Enrollment Level is added to Regent Award


Alternative Flow

  • User updates existing Enrollment Level Setup
  • Follows navigation steps above
  • Chooses existing Enrollment Level Setup up and clicks “Edit”
