Executive Summary

Regent Education is pleased to announce Regent 6.7.2.0, the latest release of the Regent Enterprise Financial Aid Management System.

The release includes enhancements listed in the 'Enhancements' section below and further defined in the Product Brief. This release also addresses product defects as listed in the 'Bugs' section below.

FAY 2024-2025 ISIR Comment Code text has been updated per the the most recent ISIR technical reference provided by the Department of Education.

Title: COD Regulatory Updates for 2024-2025 Processing

Description:

COD Import and COD Export Processes within Regent have been updated for 2024-2025 FAY processing, per revised COD schema. Rebuild, Reconciliation, and Pell MRR Files and SAIG Message Classes, as well as COD edit messages, have also been updated for 2024-2025. Enrollment Intensity Percentage has been added to COD details screen in Regent.

Problem:
Some students with pending Program Changes had a duplicated view of the header information in the Program Management Wizard (PMW). The program changes could not be processed due to an error, Unable to update Course Enrollment Programs. Update failed. Please refresh your data before updating, someone already changed this data while you were editing. Unable to update Course Enrollment Programs.

Cause:
Recent updates to the PMW added logic that was conditional on program groups. When a program was in more than one Program Group, the PMW incorrectly displayed the program multiple times. The duplication prevented the user from processing the program change.

Fix:
The PMW logic was corrected to eliminate the duplicated programs caused by program groups.

Testing:
Find an affected student who has a pending Program Change. Open the Program Management Wizard. Confirm no duplicated data is visible. Perform the Program Change. Confirm no errors occur. Separately, at a school using Subscription Periods, find or create an additional student in a Subscription Period program with a program change into a different Subscription Period program, where the two Subscription Period programs are not in the same program group. Open the PMW. Confirm the PMW allows the user to reset the Subscription Period units. Complete the Program Change. Confirm the Subscription Period units are reset or not reset as expected. Finally, find or create an additional student with a Subscription Period program with a pending program change into a different version of the same Subscription Period program (e.g. Full-Time vs. Half-Time), where the two programs are grouped together in the same Program Group. Open the PMW. Confirm the PMW does not allow the user to reset the Subscription Period units. Process the program change. Confirm the Subscription Period units are not reset.

Awarding

Problem:
For a school’s initial first-ever packaging run, some students had Tasks configured to ‘Restrict Packaging’ for specific selected funds. However, the students were created with those funds awarded on their initial Academic Plans. The blocking Tasks appeared to only restrict repackaging of those funds.

Cause:
Regent did not load student Tasks when the Academic Plan did not yet exist.

Fix:
Regent applies Tasks to students with and without Academic Plans.

Testing:
Ensure Tasks are configured to block specific funds from packaging. Confirm the funds are configured to auto-package. Reload RNA Setup if needed Load a new student’s SBL, ISIR, Student Documents, and Import Awards and Disbursements files, if applicable. Package the student. Confirm the system does not create any new awards for the specific selected blocked funds. Confirm eligible auto-packaged funds are created if they do not have that restriction.

Regent Award

Awarding

Problem:
Regent Award unexpectedly does not calculate Federal Work Study before Unsub despite the packaging philosophy set up.

Cause:
Regent Award was incorrectly calculating a “ruleset-less” fund calculated after UNSUB loan (replaces EFC = Yes).

Fix:
Regent Award is updated to correctly calculate “ruleset-less” funds in this case.

Testing:
In Regent Award, package the students and check for the Federal Work Study award.

Problem:
Student portal was unexpectedly not showing the word "here" as a hyperlink in the statement: "An option to download the latest version of Adobe® Acrobat® for free is available by clicking here." in the Required Disclosures tab.

Cause:
Student portal was incorrectly missing the hyperlink to Adobe reader in the Required Disclosures page.

Fix:
Student portal is updated to add the hyperlink.

Testing:
In Student Experience portal, complete an application up to the E-signature section and check the Required Disclosures.
