This Product Brief includes a summary of Regent 6.1.x releases, information on key enhancements, and direction to additional documentation and information.

Product Release Description

The 6.1.x releases address product defects as listed in the “Bugs” section of the Release Notes, and also enhancements and new features including:

System Requirements

Any client currently using Regent Award may take Regent 6.1 for UAT and ultimately production upgrade.

Any client currently using Regent Review may take Regent 6.1 for UAT and ultimately production upgrade.

Any client currently using Regent Access may take Regent 6.1 for UAT and ultimately production upgrade.

Any client currently using Regent Award may take the Regent 6.1 version of Student Experience for UAT and ultimately production upgrade.

Please note that a build script will be executed as part of an upgrade to the 6.1.2.0 release that will identify and fix existing Nonterm students for 180 days and abbreviated periods by identifying students with a 180-days since the last attended period and abbreviated periods that have not been hard-closed and setting the flag to close the period if the flag is not already set.

Batch Packaging will need to be executed after the upgrade for schools with Nonterm programs either based on the scheduled process or manually in order for the resolution to apply and Academic Plan to update.

If Batch Packaging does not include ‘Inactive’ students, the ‘Inactive’ students would require a user to MAP the student(s) before updates are realized. A client with a high volume of nonterm students will need to expect the script to take up to a couple of hours to run.

Any client currently using Regent Review may take the Regent 6.1 version of Student Experience for UAT and ultimately production upgrade.

Some Regent Access clients may take the Regent 6.1 version of Student Experience for UAT and ultimately production upgrade. Please work with your Account Manager for additional information. Note: All current customer-specific functionality in the legacy portal may not be available in the new Student Experience portal at this time.

Clients using Regent Award for Salesforce will not need to upgrade RAFSF to maintain current functionality, but are encouraged to do so to take advantage of enhanced sync logging for diagnostics.

New Feature Overview for Regent 6.1.0.0

Standard Communications

 Privacy Policy Link: An optional Privacy Policy link configuration for Standard Communication Templates was added to the Content Used in Communications setup. Users will enter the Privacy Policy display name (how the Privacy Policy hyperlink will display to the student) and the Privacy Policy URL. If configured, the Privacy Policy link will display as a footer at the end of the communication template. Clients should ensure that fonts, colors, and spacing are configured to display as expected.

SAP Warning and SAP Suspended:  New standard communication templates for students determined to have statuses of SAP Warning and SAP Suspended are now available. The filters related to these templates were added in the previous 6.0 release.

Regent Fund

Regent Query Language (RQL):  RQL was updated to add support for the ‘Is Empty’ and ‘Is Not Empty’ operators in order to align with the operators supported within the Query Builder.  These operators allow users to easily include or exclude NULL values.

 

Loan Aggregates

Adjustments to Loan Aggregate Amounts: Regent Award has improved Award calculations for Subsidized and Unsubsidized Direct Loans to automatically adjust the student’s aggregate balance for the following use cases:

1) An Undergraduate student’s aggregate balance will be reduced by the amounts of any previous graduate-level loans (including Additional Unsubsidized HPPA loan amounts for certain health profession programs).

2) A Dependent Undergraduate student’s aggregate balance will be reduced by the amounts of any Additional Unsubsidized loans awarded due the Parent’s inability to borrow a Parent PLUS loan.

3) A Graduate student’s aggregate balance will be reduced by the amounts of any Additional Unsubsidized loan amounts awarded for HPPA programs.

The student History tab in Regent Award has been enhanced to include an Loan Aggregates subtab that display’s all of a student’s Subsidized and Unsubsidized Stafford/Direct student loans based on ISIR and NSLDS FAH file data.  There is a ‘flag’ column to identify any additional Unsubsidized amounts attributable to either a PLUS Loan Denial (P) or a Health Professions Loan (H), or both (B).  The Loan Override Aggregate Amount column provides users an opportunity to change the amount of an individual loan’s amount to be considered in loan aggregate calculation adjustments, and an Activity Log Entry will record the override.

Program Management Wizard

Adding an Academic Year Manually: New functionality supports the ability for a user to add an Academic Year in the middle of an Academic Plan without requiring the user to add or update all previous Academic Years on the student’s Plan. These updates allow for overlapping periods that may be required for Non Substantially Equal Program Changes.

2023-2024 Regent Access Year (RS-20653, RS-21779)

2023-2024 Access Questionnaires: New Access forms for the 23-24 FAY have been created that align with the 23-24 FAFSA and reflect the standard year-over-year incremental updates and include information text updates to the Student/Spouse and Parent earned income questions, for clarity.

ISIR Format Export File: The 2023-2024 version of the ISIR Format Export File for Access is included in this release.

Please note that 2023-2024 Comment Codes and Assumptions/Rejects are not yet available in Regent and will be provided for full 2023-2024 ISIR processing support in the next major release. Regent recommends that Regent Award clients wait until the upcoming 6.2 release to import 2023-2024 ISIR files.

 

Access (RS-19858, RS-23693)

Name Field Consistency: The Master Access Questionnaire in Student Experience now accepts numbers in the name fields.

Transaction Numbers:  Application transaction numbers were added to Regent Access forms in the previous minor Release 6.0.1.0.

 

Salesforce (RS-23860)

Sync Logging: The Regent Award for Salesforce (RAFSF) application has been updated with full scheduled sync logging to support improved diagnostics for any syncing issues. There is no requirement to update to a new RAFSF version upon upgrade to Regent release 6.1 to maintain current functionality.  However, there is the option to upgrade in support of the improved diagnostic capabilities.

 

New Fund Setup Options  (RS-20062)

Expanded ‘Per Payment Period’ Fund Setup Options: Enhanced term-based Fund Setup options allow clients to configure different award amounts for different enrollment levels by FAY and/or a minimum number of units required for a student to receive the fund for a term. These options are intended for institutionally-managed funds or external funds with these types of rules.  They do not apply to Pell, TEACH, or Direct Loans, all of which are already managed per federal requirements. Any configurations using the previous version of the ‘per payment period’ setup will be honored.

 

New Document Setup Option (RS-24364)

Assign by SAP Status: A new SAP Assignment tab has been added to Document Setup. Documents may be assigned based on a student’s SAP Status or SAP Failure Reason. The SAP Status and SAP Failure Reason may be used in conjunction with one another or independently. SAP Status Options are: Satisfactory, FA Probation, FA Suspended, Not Calculated, FA Warning, and MTF Suspended. SAP Failure reasons include: GPA, Completion Rate (Pace), Maximum Timeframe, Anticipated Maximum Timeframe, Status Provided Manually, and Status Provided from SIS

When using Advanced Packaging and this issue occurs, zero out the units for Summer terms on the screen as desired.

In certain cases, the 'Cancel Funds if Document is in Unsatisfied Status' is not working as expected.

On occasion, the BP Process completes successfully, but the Process Log is not closed ("hangs" at 99%) to it appears to the user that the process did not complete.

ISIR - Unmatched' Report Includes SSN in CSV and XML file exports when "include SSN" is false.
