Overview

There are six standard E-mail communications that support the eAccess process.  All E-mail communications have English and Spanish verbiage.  The Spanish verbiage is presented after the English verbiage.  Each E-mail communication is triggered by an event. The 2021-2022 FAY is being used in the examples below.  

Parent Access Request    

Trigger: The student completed the questionnaire as a dependent student and has filled out the parent request section.

Format:

  • Subject: Action Required – 2021- 2022 eAccess Application Parent Signature.
  • Body: <Student Name> has selected you to sign the 2021-2022 eAccess Application. Your username is <Parent Email>. Please log in by going to the <eAccess URL> Parent Portal and create an account to sign this application. If you do not take any action, this link will expire in <Link Expiration Date>. If you have any questions about your account or the signature process please contact <Insert School contact information>.

Parent Email Updated

Trigger: The parent has completed the steps in the Parent Access Request Email.

Format:

  • Subject: Your 2021- 2022 eAccess Application information has been updated
  • Body: Your email was changed from <Old Email> to <New Email> on <Current Date>. If you believe this to be in error, please contact <School name and contact information>. If you approve of this change, you do not need to do anything - the link with portal login instructions will be sent to the updated email address at <New Email>.

Parent Invitation Request

Trigger: The student completed the questionnaire as a dependent student and has filled out the parent request section.

Format:

  • Subject: Action Required – 2021-2022 eAccess Application Parent Signature
  • Body: <Student Name> has selected you to sign the 2021- 2022 eAccess Application. Your username is <Parent Email>. Please log in by going to the <eAccess URL> Parent Portal and login with your current user name and password to sign this application. If you have any questions about your account or the signature process please contact the <Insert School contact information>.

Forgot Password

Trigger:  The student has selected the "Change My Password" option on the user login screen.

Format:

  • Subject: Your Password Has Been Reset
  • Body: A request to reset your password was successfully submitted. A temporary password has been assigned to you:
    • Temporary password: <temppwd>
    • Please visit <ApplicationWebSite> to log in with the temporary password. Once you are logged in, you will be prompted to create a new password for the account provided. The temporary password is valid for 24 hours. ***To ensure you receive these emails in your Inbox, please add <Email Address> to your Address Book or Safe Senders List.
    • If you did not request to reset your password or otherwise believe your account has been compromised, please contact <Insert School contact information> immediately.

Change Password     

Trigger:  The student has logged into the site provided with the temporary password provided in the Password Reset Notification Email.

Format:

  • Subject: Your Password Has Changed
  • Body: The password for your account was successfully changed. As a security feature, you will receive an email each time you change your password. To ensure you receive these emails in your Inbox, please add <Your Email Address> to your Address Book or Safe Senders List.

          If you did not request to change your password or otherwise believe your account has been compromised, please contact <Insert School contact information> immediately.

Registration

Trigger:  A student registers as a new student.

Format: 

  • Subject: Your 2021-2022 eAccess Application Account Has Been Created
  • Body: Thank you for registering and creating a 2021-2022 eAccess Application account. Your username is <username>. To log into the application website, please go to <Application Website> and enter your username and password. If you are unable to remember your password, please select the Forgot your password? link on the Login page to have your password reset. If you need technical support, contact us at <School phone number and email address>.
