Executive Summary

Regent Education is pleased to announce Regent 6.9.4.0, the latest release of the Regent Enterprise Financial Aid Management System.

The release includes enhancements listed in the 'Enhancements' section below and further defined in the Product Brief. This release also addresses product defects as listed in the 'Bugs' section below.

COD

Problem:
Some loans had FAID values that did not match the loan period FAY.

Cause:
Several different logic issues caused the loan periods to have different Federal Award Years than the loan FAIDs. Some loan period dates were changed without correctly updating the loan period FAY. In other cases, loans were moved to incorrect loan periods. Some new loan periods were also created with incorrect FAYs that did not follow the correct FAY for the period dates and/or crossover configuration. An incorrect logic check also prevented Regent from automatically fixing some loans via the normal Cancel-Recreate process.

Fix:
Regent made several corrections to the loan period logic and improved the Cancel-Recreate process. When a new loan period is first created, Regent validates the new loan period's FAY compared to the loan period dates and crossover settings. When a user creates a new manual loan period, Regent validates the loan period’s FAY is correct for the loan period dates. When Regent moves a loan to a different loan period during packaging, Regent has additional logic that ensures the loan's FAID matches the FAY on the potential new loan period. Regent also cancels and recreates some Accepted-status loans in past periods if those past loans were never sent to COD.

Testing:
To test, package the affected students and review the loans. Compare the FAIDs and the loan period dates. Confirm the loans have the correct FAYs for their loan periods. In many cases, students may need to have blocking documents and/or tasks cleared in order to allow packaging. For some scenarios with loans in past periods, a "Time Machine" may be needed to change the server date and test repackaging in that past AY.

Regent Award

Awarding

Problem:

Loans were not being awarded in past terms when ‘Freeze Amounts: Past Award Periods’ configured in Fund Setup. When Fall 2024 was completed, school submitted an SBL that removed Fall completed course work and all aid was cancelled and money returned.

Cause:

Prior cancelled loans were not restored due to flawed logic regarding treatment of closed PPs when the Fund freeze option was closedAwardPeriods.

Fix:

Code updated to revise freeze option logic.

Testing:

Remove Fall Courses from Fall term. Confirm all Pell awards and loans re-package based on fund configurations. Freeze Amounts: Past Award Periods.
