Import Student Batch Load (SBL) File


Synopsis: Import SBL File


Student information, used to calculate Financial Aid eligibility, is loaded into Regent Award with an SBL file import process. SBL files can be setup to automatically import into Regent Award or can be manually imported within Regent Award under the Processes menu.

Step-by-step Guide: 

Users must have specific permissions to use the Import Process. Please see your system administrator.

SBL Manual Import

  1. Login to an Regent Award Instance
  2. In the left hand sidebar, select the Process menu (Fig. 1a)
  3. This will reveal a list of processes
  4. Select Import Process in the menu (Fig. 1b)

  5. Options for the Import Process will open in the main window
  6. Select "Import SBL" in the Process Type drop down menu  
  7. Select the Import File button 
  8. Browse to the .xml file for upload and select Open
  9. Finally, Select the Import button

Checking Manual Import Process Status

  1. In the left hand sidebar, select the Process menu (Fig. 1a)
  2. This will reveal a list of processes
  3. Select Process Log in the menu (Fig. 1c)

  4. The Process Log will open in the main window

This log tracks all import, export and batch system processes being run in an instance, . While a process is being run, the "Status" column will say "Processing". Upon completion of a process this column will say either "Completed" or "Error" depending on the success (Fig. 1d)Select a particular process to see the details in the lower main window (Fig. 1d). If a process has erred, you will find out why under the "Error Log" tab on the right.

Step-by-step Guide: 

SBL Automatic Import

File Watcher Windows Service

This service is setup as part of the Regent Award Implementation process. When a client's Regent Award instance is stood up, the File Watcher service is configured.

File and Folder Watcher continuously monitor one or more folders for new files. When new files arrive, File and Folder Watcher then triggers a custom action, such as running a second program, at a set time, with the new files.

For Regent Award, File Watcher manages the data exchange of FAFSA, ISIR, ISIR Corrections, COD Import/Export, Student Batch Load, Export Student Transactions, Mass Award Import, External Resource Import. To see an SBL processing schedule for a specific clients, refer to their Run Book. 


  1. SBL.xml source file is generated by an external system on the client side called a Student Information System (SIS)
  2. The file is saved to a folder associated with a particular client
  3. File Watcher monitors this folder for new files
  4. It copies the source SBL.xml into a subfolder designated for SBLs
  5. This folder is automated to run an application process
  6. File Watcher is configured to submit the SBL.xml file to DEX for processing
  7. The SBL.xml file will be imported and, upon success, deleted
  8. Only the production file will be deleted and not the the source file from Step 3


Checking Automatic Import Process Status

  1. In the left hand sidebar, select the Process menu (Fig. 1a)
  2. This will reveal a list of processes
  3. Select Process Log in the menu (Fig. 1c)

  4. The Process Log will open in the main window
