Overview 

The History tab has three subtabs:  General, SULA, and Census. 

The General subtab is used to track information related to the student's Federal eligibility for aid and Aggregate eligibility for Pell and Direct Loans. 

The SULA subtab tracks Subsidized Usage information. Regent Award compares the latest information from ISIR, COD, NSLDS, and Manual/Regent Award information so as to determine the most recent information. The History tab allows for an override of the aggregate amounts if it is determined that the information from the Federal data sources is inaccurate. Schools may also use the information on the History tab to investigate Transfer Student Monitoring / Financial Aid History alerts, overpayments, default information, and overlapping loan periods.

The Census subtab provides a view-only, filterable history of census data for the student.

General Subtab

At the bottom of the History tab - General subtab. the information related to transmission and receipt of NSLDS FAH and TSM requests and information from NSLDS on NSLDS Award History - Loans and NSLDS Award History – Grants is displayed. These features display financial award information for all awards received at the current institution and other institutions. The additional information can assist you in making awarding decisions.

Data Requirements

Each field can have up to 4 different values. Sources are NSLDS, ISIR, COD, Manual.

The ISIR, COD, NSLDS, and Regent columns are READ ONLY.

Data Requirements 

If the program is configured with "Apply SULA Calculations" set to No (or Inherits a value of No), then the screen will display a red (!) warning icon and the following sentence: (!) The current program is NOT configured to apply SULA calculations to awarding.

The program is the same program used for the "Current Program" in the data table (preexisting Current Program logic). The system will not display that sentence or warning indicator if the program is configured with Apply SULA Calculations set to Yes (or Inherits a value of Yes). However, the system will still display that sentence and indicator if the student has a SULA value of N. 

If the student's SULA=Y, Regent will still recalculate the student-level and loan-level SULA values for Subsidized loans, even when the program has "Apply SULA" = N.  Regent will run the SULA calculations, but will not limit Subsidized Loan awarding.

What happens if SULA = N?

If Regent evaluates the student's SULA flag, and the result is SULA=N (SULA does not apply to this student):

  1. Regent will not limit the student's Subsidized loans due to SULA, because SULA=N (student is NOT covered by the Subsidized Usage Limits Apply)..
    1. Regent will still apply other factors (such as lifetime aggregate amounts, COA, etc.) Those other restrictions are independent and separate from the SULA year limits. 
  2. When SULA=N, the Student Experience Portal will not display the Subsidized Usage graph in Regent Plan. See Regent Plan Landing Page 
  3. Regent will still update the values for Regent Date Updated (date evaluated) and Regent SULA Flag (SULA=N).
  4. However, Regent will not do additional detailed student-level or loan-level SULA calculations for students who have SULA=N.
    1. RNA will not calculate the Regent Total SUP (Actual) student-level field.
    2. RNA will not calculate the Regent SULA loan-level fields.


Subsidized Usage by Loan

The Subsidized Usage by Loan table gives detailed Award-Level data for all the student's Subsidized loans in Regent Award. All loans are tracked, regardless of status (Cancelled, Estimated, Offered, Accepted, etc.)

List of fields:

  1. Final - Set an indicator that REM can use to track if the marked loan is the last eligible Sub loan for the student in the program in their REP (REP <= 1.0). A red (!) indicator will mark those loans.

  2. Award ID - partial FAID from the "S" on (omit the 9-digit SSN prefix at the top).

    2. A very similar hyperlink and pop-up already exists in the Student History tab, General sub-tab, NSLDS Award History - All Loans.

  3. AY - Academic Year in Regent

  4. AY Start - AY start date, from Award COD Metadata (same as "Academic Year Begin Date" on Loans tab)

  5. AY End - AY End date, from Award COD Metadata (same as "Academic Year End Date" on Loans tab)

  6. LP Start - Loan Period start date, from Award COD Metadata (same as "Financial Award Begin Date" on Loans tab)

  7. LP End - Loan Period End date, from Award COD Metadata (same as "Financial Award End Date" on Loans tab)

  8. Grade Level - Grade level for the loan in Regent

    1. Same data type as the Academic Plan, Grade Level field. It appears to be a numeric / integer, but it might be just a lookup table.

  9. Regent Loan Amount - Current gross loan amount in Regent that will be used when exporting the loan's  <FinancialAwardAmount> to COD

Loan Subsidized Usage by Payment Period

Each Subsidized loan that has information in Regent has a hyperlink from the FAID to a pop-up modal with that individual loan's details. 

The pop-up includes the following detailed award-level information for each loan:

Census Subtab 

The Census Calculation History page on the Census subtab of the History tab, includes a view-only, filterable table of census data. When the census date value being used for the student changes, and/or the number of units in the census calculation changes during packaging, a new row is added to the table and each of the six columns in the row are populated with values applicable to the new calculation:

  • Term Name

  • Census Date

  • Number of Units

  • Census Date Type

  • Calculation Date

  • Program Name

Census Date Type column identifies if the census date used in the calculation was at student-level or one of the five configured types in Term Setup. Column values are as follows:

  • Census Date 1

  • Census Date 2

  • Census Date 3

  • Census Date 4

  • Alternative Census Date

  • Student-level

Loan Aggregates sub-tab (also see: Aggregate Adjustments and Data Table)

The Loan Aggregates sub-tab displays a detailed data table for each individual loan on the student's record. The table combines loan details from NSLDS FAH and ISIR data. Users with permissions to 'Edit History Tab' may also add an override for the 'Calculated Aggregate Amount' value.

Two system-generated student-level flags appear above the data table: Has Aggregate Adjustments and Uses Override Aggregate Amounts. The system tracks these values on the student level and stores them on each student's Academic Plan. The fields are visible in the Loan Aggregates sub-tab.

  1. Has Aggregate Adjustments

    During packaging, the system sets this flag to True if any student-level aggregate total amounts were adjusted for specific scenarios:

    1. Undergraduate students with past Graduate loans

    2. Undergraduate dependent students with Additional Eligibility due to a Parent PLUS Denial

    3. Graduate students currently in programs that do not use the higher Health Professions (HPPA) loan limits, who have past HPPA loans

  2. Uses Override Aggregate Amounts

    If any loan has a manually-entered Override Amount in the data table, this checkbox is selected.

    If no loans have a manual override amount, the indicator will display as Unselected. If a student previously had one or more Override Amounts, but ALL Override amounts are cleared (blank) on a student, the 'Uses Override Aggregate Amounts' checkbox will also be cleared upon saving.


Each loan appears only once within the data table. Loans might have different data reported from NSLDS FAH and ISIR data sources. Regent Award matches loans from ISIR and NSLDS FAH data. When the data is imported, Regent identifies which data source is most recent, and determines the Regent Calculated NSLDS Aggregate Amount. That Regent-calculated value is the amount that loan contributes toward the student's Total Aggregate Oustanding Principal Balance.

Within the table, Regent joins loan from ISIR FAH data and NSLDS FAH (Type 5) records. Regent determines the Regent calculated

    Loan amount used toward the Calculated Undergraduate and Graduate Combined Aggregate Principal Balance. For ISIR data, the amount is the loan Aggregate Principal Balance. For NSLDS FAH data, the value varies depending on the loan status.
    * Current or recent loans in an in-school or in-grace status, having loan period end dates less than 90 days in the past, use the greater of the Outstanding Principal Balance or the Disbursed Amount.
    * Older loans with a Loan Period ending at least 91 days in the past, or more recent loans not in an in-school or in-grace status, use the lowest nonzero value of the three NSLDS FAH data fields: Net Loan Amount, Disbursed Amount, and Outstanding Principal Balance.
