Annual Regent Award/ Regent Review Configuration Maintenance

Overview

This page serves to provide general information for annual configuration updates as owned by Clients. Clients may work with Account Managers to perform updates through the Maintenance & Support (M&S SOW.)  As always, configuration updates should be tested in a QA instance prior to promoting to Production.

Configuration

The following are configuration items that may require annual maintenance.  Some of the following configuration items are required to be updated annually e.g., fund fees, while others are recommended

Reference the Customer Zone Knowledge Base Admin Guide for additional details and basic concepts of configuration items.

  1. Academic Program Setup
    1. Confirm all programs offered by the institution are configured.
  2. Term Setup
    1. Update existing anticipated terms as needed to align with those published by the institution
    2. Add new anticipated terms
      1. Ensure sufficient future terms are added to support Academic Plans for the longest programs at the institution.
    3. Enrollment Level Setup
      1. Confirm enrollment levels are configured.
        1. Add a new Enrollment Level (as applicable)
      2. Break Setup
        1. Update existing institutional breaks as published by the school
        2. Add new institutional breaks to align with anticipated terms
  3. Pell COA
    1. Update all Pell COA tables for upcoming FAY Pell costs.
      1. All FAYs associated with anticipated terms for the Academic Plan must be configured. For nonterm, configure all FAYs through the longest period a student might be expected to attend a current program. If future FAYs are not configured, Regent Award will NOT estimate/package Pell for those FAYs on the Academic Plan.
  4. COA Setup
    1. Add new costs as published by the school (as applicable)
    2. Sunset existing costs (as applicable)
  5. Fund Setup
    1. Configure the appropriate fund budgets for the upcoming FAY.
    2. Custom Fund ruleset
      1. Schools must submit a Customer Zone ticket to request a change to the Custom Fund ruleset e.g. an increase in awarding amounts for “Auto Packaged” funds
        • Updates are managed between the Client and Account Manager through the M&S SOW
      2. Update Cease Auto-Packaging Settings
      3. Update Cease Disbursement Settings
  6. Disbursement Schedule Setup
    1. Confirm disbursement schedules are configured accurately
  7. Packaging Philosophy Setup
    1. Confirm packaging philosophies are configured accurately
  8. Fund Fee Setup
    1. Add new fund fees for Title IV loans with first disbursements on/after October 1st of each year
    2. Confirm the September 30th end date is configured for first disbursements made before the October 1st
    3. Add or edit fund fees for non-Title IV funds
  9. Task Setup
    1. Update any “Review Student Document(s)” task type where document setup is specific to FAY scope values
  10. Document Setup- Note:  Clients will not load any ISIRs for the NEW FAY until all documents  are configured and/or modified for the NEW FAY 
    1. Make document setup updates that pertain to general Financial Aid and Student processing, that are not specific to Regent Review's Verification Worksheet (VWS) Functionality.  
      1. For Regent Review clients- Regent will provide the applicable documents for any regulatory updates as it pertains to the Verification Worksheet.
        1. Clients will need to open a Customer Zone ticket to work with your Account Manager to request the Regulatory updates to your QA environment and, 
          1. Refer to the relative Product Brief posted to the Customer Zone Knowledge Base for additional steps
        2. Clients can request Regent Education to update the new FAY documents via the Account Manager
    2. Update any documents where document setup is specific to FAY scope values
  11. Communications Setup (as needed to align dates, FAYs, etc.)
    1. Templates
      1. College Financing Plan (CFP)
      2. FAY related Templates (if FAY is hard coded)
    2. Filters
      1. Filter updates are managed between the Client and Account Manager through the M&S SOW
  12. User Defined Fields (UDF)
    1. Update any UDF that is year specific
  13. SAIG Mailbox
    1. Review and update any aid year specific message classes for ISIRs and COD
  14. Saved Parameter Sets and Scheduled Process
    1. Review and create new Saved Parameters and Scheduled Processes
