Task Management Setup
Here's how it works:
- From the Administration bar, navigate down to Task Management, click on Task Management.
- Clicking on the Run Task Assignment Process executes task assignment in the system.
- Click on the Run Task Escalation Process, executes task escalation in the system.
- Editing the Task Assignment Process Option allows for the assignment of a student's tasks to the same user/processor.
Queue Setup Tab
Queue setup allows you to set up as many queues as you need in the system. Queues should be set up based upon the schools' business process and are used in conjunction with the roles in the system. For example, if you have an individual or group of individuals who only process R2T4s, it is recommended that you set up an R2T4 role in the system and then set up an R2T4 queue. The system could then assign all R2T4 tasks to the individuals assigned to the R2T4 role. Multiple tasks can be assigned to a queue.
Add a Queue
- From the Administration bar, navigate down to Task Management, click on the arrow to the left of Task Management and click on Queue Setup, and then click on Add Queue Setup.
- Enter the name of the Queue and click on the Save button.
Edit a Queue
- From the Administration bar, navigate down to Task Management, click on the arrow to the left of Task Management and click on Queue Setup, then click on the queue name. The queue will be displayed at the bottom of the screen. Then click on the Edit button to edit the information.
- Once you have completed editing the information, click on the Save button.
Task Setup Tab
Task setup is the process by which you set up a task and associate it to a queue. You must first set up a queue before you can associate a task to it.
Add a Task
- From the Administration bar, navigate down to Task Management, click on the arrow to the left of Task Management and click on Task Setup, and then click on Add Task Setup.
- Once you have completed adding the information, click on the Save button.
Edit a Task
- From the Administration bar, navigate down to Task Management, click on the arrow to the left of Task Management and click on Task Setup, and then click on the task that you wish to edit. The task setup will appear at the bottom of the screen. Click on the Edit button to edit the task.
- Once you have completed editing the information, click on the Save button.
Document Setup Subtab
The document setup subtab allows you to configure tasks to trigger when the specified document(s) are in a certain status or set of statuses, at which point you can take a specific action on a student's record.
- From the Administration bar, navigate down to Task Management, click on the arrow to the left of Task Management and click on Task Setup, Then, click on the process you wish to edit. The document setup will appear at the bottom of the screen. Click the Edit button to edit the document setup.
- Once you have completed editing the information, click on the Save button.
Restrict Process Setup Subtab
- From the Administration bar, navigate down to Task Management, click on the arrow to the left of Task Management and click on Task Setup, and then click on the process that you wish to edit. The process restrictions setup will appear at the bottom of the screen on the Restrict Process Setup sub-tab. Click on the Edit button to edit the process restrictions.
- Once you have completed editing the information, click on the Save button.
Triggering Funds Setup Subtab
The Triggering Funds Tab is only enabled for the "Review Overaward with Unpaid Disbursements" task. The user is presented with the option to select all funds or specific funds that will trigger the task to populate for a student record during the packaging process.
