Advisor Assist

Overview

The Advisor Assist feature of Regent Plan is available to permissioned users only.  The Advisor Assist permission is located under Institution Permissions → Student Permissions within Regent Award.


This feature allows school Advisors to view a student's account within the Student Experience Portal.  The intent of this tool is that the Advisor will view the information while on the phone with a student who needs assistance navigating the portal.  The Advisor can see all of the same screens and data as the student, and can navigate throughout the student's portal screens, but cannot take actions on the student's behalf.  Regent Award supports the Advisor Assist tab being open and functional for multiple students at one time, however, the most likely scenario is that an Advisor would work with just one student at a time.

The following sections outline the available functionality for each area of the Student Experience Portal when accessed through the Advisor Assist tab.


Dashboard / Menu View

The FA Advisor can access the Student's view of the Menu and Dashboard from within the Advisor Assist tab and is able to view the same information that the student can see on the menu and dashboard.  The FA Advisor can click on the dashboard and menu items in order to access the various components of the StudentX portal.  The FA User can also click on the "Show Full Info" link in the Instructional Message, and the full Instructional message will display.

Financial Aid

The FA Advisor can access the Student's view of the Financial Aid component from within Regent Award and view the same information that the student can see on the Financial Aid component, including links and buttons.  The FA User can click any of the following:

  • the "View Details" link on any award tile
  • the "Review and Update" link on any award tile
  • the Academic Year dropdown
  • the Costs component
  • the "Show Full Info" link in the Instructional Message and the full Instructional message will display
  • the help icon in the header bar
  • the Payment Details within the Award Tile
  • "Read Statement of Understanding" button
  • the link to an Academic Year shown in the "Call to Action" box shown at the top of the screen.

The FA User can view the following buttons, but clicking on it does not result in any action.  

  • "Acknowledge" Statement of Understanding button
  • the award accept/decline actions available to the student on each award tile
  • the "Save Changes" button
  • the "Ok, Got It" button

A notification is displayed informing the FA user that the action is not allowed.


The FA user can view the same information that the student can see on the useful links component, including clicking on and opening the URLs.  The FA User can also click on the "Show Full Info" link in the Instructional Message, and the full Instructional message will display.


Documents

The FA Advisor can access the Student's view of the Documents component from within Regent Award and view the same information that the student can see on the document component, including links and buttons.

The FA User can click on:

  • the "View Details" link on any document tile
  • the Document filter options in the header bar
  • the "Show Full Info" link in the Instructional Message and the full Instructional message will display
  • the help icon in the header bar

The FA User can view the following buttons, but clicking on them will not result in any action.

  • Upload a form
  • Sign Form
  • Request Parent Signature
  • Download (the download icon)
  • Start, Edit or Complete Form

A notification is displayed informing the FA user that the action is not allowed.

Message Center

The FA user can:

  • Use the Filter and Sort options in the header to find messages
  • View the subject and date of messages that the student has received, but cannot open them.
  • Click on the "Show Full Info" link in the Instructional Message and the full Instructional message will display

The FA user cannot:

  • Reply to messages
  • View the content of messages
  • Change the status of a message from unread to read
  • Send a new message

A notification is displayed informing the FA user that the action is not allowed.

Student Profile

The FA user can view the Student Profile

The FA user can view the following options but clicking on them will not result in any action.

  • Change the student's password
  • Select "here" to send a new message
  • Logout
