Subscription Periods Progress

Overview

The Subscription Periods Progress component of the Student Experience product is optional for Regent Award schools using Subscription Period programs. When the component is enabled, students who have a Subscription Period term can view their progress to see if they have earned the required units for disbursement. The component displays the student’s overall progress, as well as indicators of whether the student has fulfilled enough units for disbursement in current and past terms.

Users with permissions may configure the component name and text elements in Institution Setup, as a subtab under Portal Setup. Refer to the Admin Guide Student Experience Portal Setup Data Elements.

Access from Menu or Dashboard

When the 'Subscription Periods Progress for Disbursement' component is configured to display on the Student Experience Portal, the student can access it from either the Menu bar on the left or directly from the Dashboard.  Selecting the component from either method will take the user directly to the Subscription Periods landing page.

The component is only available for students who have a past, current, or future term in a Subscription Period program. Subscription Period programs are configured with a 'Subscription Period Enrollment Level' in Program Setup. 

Dashboard Tile

The Dashboard displays a Tile with the student's Status indicator and Status text. A link invites the student to View Details.  The Subscription Periods tile appears after the Financial Aid tile on the main Student Experience Landing Page.

The component is only available for students who have a past, current, or future term in a Subscription Period program. Subscription Period programs are configured with a 'Subscription Period Enrollment Level' in Program Setup. 

Instructional Text

Like other areas of the Student Experience Portal and Regent Plan, the top of the Subscription Period page optionally displays Instructional Text. If the text is long, the student may expand it to show the full information.

Student Subscription Period Status

Students can view their Subscription Period Status to quickly see if they have earned the required Subscription Period units for disbursement. A student can have one of three possible different Status types: Green/Good, Yellow/Warning, or Red/Stopped. If the student already has enough cumulative units for disbursing the current term, their status is Green/Good. If the student has not met the required units for disbursements in current or past terms, they will have different content displayed. Warning/Yellow status is when the student is behind for the current term only. Stopped/Red status is when the student has not earned disbursements for one or more past terms.


Determining Status

The student's Subscription Period Status is set by comparing the student's Total Cumulative Units for All Subscription Periods for the current term and program, to the Minimum Cumulative Subscription Period Units for Disbursement for that same term and program. In Regent Award, the unit counts are visible on the student's Academic Plan for each term. In StudentX, the status and unit counts are visible on the student's Subscription Period Landing Page.

The student's "current" term is the first Subscription Period term with the term’s end date in the future (compared to today’s date) that is a non-skipped, non-Historic Subscription Period term. For example, if today’s date is October 15, 2022, and a Fall 2022 term’s dates are September 1 2022 to December 30 2022, then the current term is the Fall 2022 term. However, if the student had "skipped" the Fall 2022 term (i.e., not enrolled and had no attendance in Fall), the system would instead use the Winter 2023 term as the current term (assuming Winter 2023 is next on the Academic Plan). Each program is linked to a term.

If the student does not have any current or future SP terms, the system uses the latest non-skipped, non-Historic Subscription Period term on the plan as the “current” term. For example, if the student’s most recent Subscription Period term was Spring 2021, and the current date is October 15 2022, then the component will display the Spring 2021 term.

Green/Good status

If a student currently has enough cumulative Subscription Period units for disbursing the current term, their status is Green/Good. The student has earned enough cumulative Subscription Period units for disbursement in the current term. Gren/Good status applies when the student’s total cumulative units is greater than or equal to the current term’s minimum units for disbursement. Regent applies the “Green/Good” overall status, and displays the "Green/Good" status text.

For example, if the student has 6 total cumulative units, and the current term’s minimum units for disbursement is 0, the student has a Green/Good status because the student's 6 units > 0 min units for disbursement. The student has earned enough to meet their disbursements for the current term.

Yellow/Warning status

When the student’s total cumulative SP units are less than the current term’s minimum SP units for disbursement, the student is falling behind. The system needs a further check to see if the student is in the Yellow/Warning status (behind for current term only), or if they are in Red/Stopped status (behind for past terms).

Example of a previous term: If today’s date falls during the Fall 2022 semester dates, the most recent past term might be the past Summer 2022 term. If the student had attended that Summer 2022 term, it would be the previous term and the system would evaluate the minimum cumulative units for disbursement in that Summer term. However, if the student did not attend that immediate prior Summer 2022 term (it was "skipped"), the system might need to go back further. If the student had attended the past Spring 2022 term, then the most recent past enrolled Subscription Period term was the Spring 2022 term.

If a student earned enough to disburse in the previous term, but the student does not have enough cumulative Subscription Period units for disbursing the current term, the student's status is Yellow/Warning. The student needs to earn additional cumulative Subscription Period units to disburse in the current term.

Red/Stopped status

If a student does not have enough cumulative Subscription Period units for disbursing the current term, and the student did not have enough to earn disbursements for one or more previous terms, the student is seriously behind. The student's status is Red/Stopped.

Regent Award compares the student’s value for ‘Total Cumulative Progression Units for All Subscription Periods’ to the previous term’s value for the 'Minimum Cumulative SP Units for Disbursement.' The “previous term” is the most recent previous, non-skipped non-historic Subscription Period term that has an end date prior to the current/future term.

Earned Units

Below the Status, the student can see the student's earned units. The system only counts units earned during Subscription Period terms. The value is the student's Total Cumulative Units for All Subscription Periods. The "units" uses the configured value from the program's Academic Unit Type Display Name in Program Setup

Units apply to each term within a program. If a student has their Subscription Period units reset due to a Program Change, the first term in the new Subscription Period program will have 0 subscription period units earned and 0 units required for disbursement.

Term Information

The system displays the Term information for any Prior term with an unmet target; the Current term; and one Future term.

For each term, the page displays:

  • Term Name
  • You must have completed ## Units to receive disbursements for this period.

  • You need ## additional Units to receive disbursements for this period.

  • You are currently registered for ## Units this period.

The system also displays a visual aid (row chart) that shows how much the student has earned, relative to the amount they need for disbursement in that term.

Additional Term Details

If the Current Term is the very last Subscription Period term on the student’s Academic Plan, the system will omit (will not display) any Future Term.

The terms use the term's name configured in the Term Display Name in Term Setup, or the term's configured Term Name if nothing is configured for the Term Display Name.

Any prior terms with unmet targets are only displayed for students in the Red/Stopped status. The Green/Good and Yellow/Warning statuses do not have prior terms with unmet units. For Red/Stopped status students only, the page displays that additional term information to help students understand when they failed to meet the required units for disbursement in any prior terms with unmet targets. “Unmet Targets” include any Subscription Period terms with a term-level value for Minimum Cumulative SP Units for Disbursement that is greater than the student’s current student-level Total Cumulative Progression Units for All Subscription Periods.
