What is the new Subscription Period model?
The Final Rule published September 2, 2020 provided for a new financial aid model in addition to standard terms, nonstandard terms, and nonterm. Subscription periods are intended for programs where academic programming employs a self-paced approach to learning while tuition billing is at a flat rate over a 'subscription period'. This means, that a student will pay a flat amount for what is essentially a 'term', and can take as many or as few courses or competencies as desired, and will progress at a rate that is appropriate for that student. Unlike traditional term-based programming, courses may overlap the start and end dates of terms.
The student commits to a specific enrollment level, such as full-time or half-time, for a program and is billed at that rate. Financial aid awarding is typical term-based awarding for that committed enrollment level and is not adjusted based on the student's actual registration (however Pell is recalculated for attended courses at the end of a term). While students are not required to complete all the courses for the program's enrollment level every term, there is a minimum number of successfully completed units (credits or points) that is required for Title IV disbursements as the student moves through the program. SAP rules are the same as for other term-based programs, but there is no quantitative/pace requirement. R2T4s do not treat these programs as if they are offered in terms with modules. The R2T4 period is simply the period from the Term Start Date to the Term End Date, regardless of student registration. To implement Subscription Periods with Regent Award, there are a few configuration options that are required, but there are no changes to the SBL. It is critical that the school identify which term each course is intended for via current SBL functionality. Please let your Account Manager know if you want more information about Subscription Periods and how they function in Regent Award.
Are Tasks created for all students in Pell Multiple Reporting Record (MRR) files?
No, the 'Review Pell MRR Notification' task is triggered only when the MRR record type code is one that requires review/resolution. These codes are: .
CE – The student is concurrently enrolled
PB – The student is in a POP situation. The school listed on the MRR was not the first that disbursed funds to the student
PR – The student is in a POP situation. The school listed on the MRR was the first school to disburse funds to the student
BC – The student is in a POP condition and is concurrently enrolled. The school listed on the MRR was not the first that disbursed funds to the student
RC – The student is in a POP condition and is concurrently enrolled. The school listed on the MRR was the first school to disburse funds to the student
In order to take advantage of the new Pell MRR process in Regent Award, activate the new SAIG Message class of PGMR##OP, set up permissions to run the new Import Process Type of ‘Import Pell Multiple Reporting Record’, and activate the new ‘Review Pell MRR Notification’ task type.
Our students don't know the term 'External Resources'. Is the new 'Resources' tile in the Student Experience Financial Aid component going to confuse them?
The use of the 'Resources' tile is completely configurable. Your can elect not to display it at all to your students, you can display it and name it something that does make sense to your students, and there is a configurable information section where you can provide explanatory text to assist them with understanding. Additionally, whether or not your students can add new resources via the 'Add New' button is completely up to you. Please see the following configuration options in Institution Setup > Portal > Financial Aid:
- Display External Resources on Portal determines whether or not the Resources tile will display to students.
- Resource Section Header Name allows the client to select what displays to the student as the tile header. ‘Resources’ may not make sense to a student, so perhaps ‘Outside Aid’, ‘Additional Awards’, or some other language will resonate better with an institution’s students.
- Resource Informational Text provides an area for the client to provide students more information about external resources.
- Allow Student to Add Resources controls whether the 'Add New' button will display so the student can add additional resources.
- Add Resource Instruction Text provides an area for the client to give direction to the student on how to add the additional resources.
How do I upgrade to the new instance of the Regent Award for Salesforce application?
New objects have been added to surface the unique identifier for Documents, Tasks, and ISIRs within Salesforce. Additionally, new objects have been added for academic years, payment periods, awards, and disbursement data. Access to this data is controlled by role permission configuration. Clients can control whether term names or dates are displayed, and whether declined, cancelled, estimated, external resource, or ‘academic year 0’ awards are included via configuration options on the Salesforce tab in Institution Setup.
Please note: If you are using Regent Award for Salesforce, you must upgrade to the new version upon your Production upgrade to Regent 5.7 even if you do not intend to use the new functionality at that time. Coordinate this with your Account Manager as you plan your 5.7 upgrade and you will be provided with an updated link to the application for installation in your Salesforce production organization. An upgrade is required to continue current Regent Award for Salesforce functionality.
What types of fund awards should use the new Grid Packaging option in the Regent Award Packaging Philosophy?
This new approach is intended for non-Title IV funds that are awarded in different amounts to different groups of students. For example, award amounts may vary by items such as GPA or EFC, or by both GPA and EFC. Users can set up a table (‘grid’) to specify which percentage or dollar amount (depending on the ‘Package To’ option) will apply to students who fall in each cell of the grid. Regent supports the use of GPA ranges, EFC ranges, or specific UDFs for each row or column of the grid. A configured grid can either apply to All Students for the scope period (such as the 2022-2023 FAY) or can be assigned only to students in a specific group via UDF. Note, if the only variable is that different dollar amounts are awarded by enrollment status, use the ‘Amount Per Payment Period’ configuration option in Fund Setup. There is no need for a grid to support this approach.
Please see the 5.6 or 5.7 Product Brief and Release Notes for more information on Grid Packaging.
