Product Release Description
The 5.7.0.0 release addresses product defects as listed in the “Bugs” section of the Release Notes, and also enhancements and new features including:

New Feature Overview for Regent 5.7
Pell Multiple Reporting Record (MRR) Support (Regent Award)
Regent Award will consume Pell MRR files and provide process summary information on which records were matched, which records matched on the student but for which Regent did not have a corresponding Pell award, and which records did not match. Tasks will be created for matched records with the following MRR record type codes.
CE – The student is concurrently enrolled
PB – The student is in a POP situation. The school listed on the MRR was not the first that disbursed funds to the student
PR – The student is in a POP situation. The school listed on the MRR was the first school to disburse funds to the student
BC – The student is in a POP condition and is concurrently enrolled. The school listed on the MRR was not the first that disbursed funds to the student
RC – The student is in a POP condition and is concurrently enrolled. The school listed on the MRR was the first school to disburse funds to the student
In order to take advantage of the new Pell MRR process in Regent Award, activate the new SAIG Message class of PGMR##OP, set up permissions to run the new Import Process Type of ‘Import Pell Multiple Reporting Record’, and activate the new ‘Review Pell MRR Notification’ task type.
Subscription Period (SP) Support (Regent Award)
Release 5.7 includes support for the new SP financial aid model that awards term-based financial aid for self-paced programming. It is intended for programs that are billed a flat rate per term and allow student flexibility with course load and the length of time needed to complete courses or competencies. This model assumes courses may extend beyond the configured term start and end dates. Awarding and processing is term-based, and uses current term-based awarding rules with the exception that it uses the enrollment level configured for the program rather than determining enrollment level based on student actual registration. Title IV disbursements require that the student have completed a certain number of units overall to date, but has enough built in ‘runway’ to allow some variability in rates of student progress. Please let your Account Managers know if you want more information on the general requirements, structure, and flow of SP programming.
SP in Regent uses the existing term and program configuration. A user will identify that a program uses SPs by configuring the ‘Subscription Period Enrollment Level’ in Program Setup with an entry other than ‘none’ in program setup, and will also check the 'Restrict Disbursements for Subscription Period Programs' box when configuring the applicable disbursement schedules. (If the checkbox is checked and a program associated with the Disbursement Schedule is not subscription period, this option will be ignored). There are no changes to the SBL to implement this model, but it is very important that the client correctly identify the term with which each course should be associated. A course may only count toward one term for Title IV purposes.
Title IV disbursements require that the student has successfully completed sufficient SP units. Each attended SP term is assigned ‘target’ units using the minimum number of units for the program's configured enrollment level. For example, if HT is defined as 6-8 units, the HT term has 6 target units. An ‘attended’ term is one during which the student attended a course associated with the term between the term’s Start and End dates. Total Cumulative Target Units includes the target units for each SP term the student has attended and is displayed at the top of the Academic Plan. The number of units the student needs for a term’s disbursements to pay is the Total Cumulative Target Units excluding units associated with the current term and the most recently attended prior term. EST validation code EST-0088 will trigger for insufficient SP units, and EST-0089 will trigger if the term is not considered to be ‘attended’.
There is a new SAP type configuration option of ‘Assume Satisfactory’. This supports clients who require students to maintain program SAP standards in order to remain enrolled in the program. When programs have been configured with a SAP policy using this option, Regent always treats the student as having Satisfactory SAP status. Both manual and SIS provided SAP functionality also works for SPs. Calculated SAP should work as well, but has not been fully tested and is not certified as of this release.
SP programs are not considered to be programs with modules for R2T4 purposes. The denominator is from the Term Start Date to the Term End Date, even if the student did not enroll in courses covering the full term. The numerator is from the Term Start Date to the student’s date of withdrawal. All other R2T4 functionality remains unchanged.
Student Resource Function (Regent Award)
A new ‘Resources’ tile has been added to the Financial Aid component in Student Experience to clearly display a student's external resources for the academic year. The student can drill down to see payment period level information. The ‘Add New’ button on the tile allows students to add additional resources to be included in packaging and on the Academic Plan. The student can either add a lump sum for the academic year and Regent will distribute it among the available payment periods, or the student can add specific amounts for each payment period. Activity Log entries will document any such student action, and the new ‘Export Student Resources’ option will create an exportable file with details on student resources added or edited within a selected date range by both students and staff.
The following configuration options in Institution Setup > Portal > Financial Aid control the Student Resource functionality:
- Display External Resources on Portal determines whether or not the Resources tile will display to students.
- Resource Section Header Name allows the client to select what displays to the student as the tile header. ‘Resources’ may not make sense to a student, so perhaps ‘Outside Aid’, ‘Additional Awards’, or some other language will resonate better with an institution’s students.
- Resource Informational Text provides an area for the client to provide students more information about external resources.
- Allow Student to Add Resources controls whether the 'Add New' button will display so the student can add additional resources.
- Add Resource Instruction Text provides an area for the client to give direction to the student on how to add the additional resources.
Reallocation Option for Sub/Unsub R2T4 Post-Withdrawal Disbursements (PWDs) (Regent Award)
The PWD tab of the R2T4 template has been updated so a user can reallocate a Subsidized PWD amount to Unsubsidized funds in the case where the Subsidized amount is from a second or subsequent disbursement and cannot be offered and the Unsubsidized funds are from a first disbursement. The user must have the ‘Edit Do Not Offer on Finalized PWDs’ permission. Any such edits will be marked with the ‘M’ (manual) icon on the R2T4 template, will be tracked with an Activity Log Entry, and be included the next time the student is repackaged.
Change to ‘First Time Student’ for Transfer Monitoring (Regent Award)
A student will be considered as a ‘first time student’ when exporting to NSLDS if the Begin Monitor Date is less than or equal to end date of first payment period that is not auto-withdrawn. Previously, if the student did not start as anticipated, the auto-withdrawn term prohibited the student from being included in a future ‘first time student’ export.
New Communication Setup Items (All Clients)
Communications Setup has been enhanced to include provision of a URL to display at the top of a specific communication, as well as two sets of optional fields for custom titles/phone numbers for use in that communication.
Integration Improvements to Regent Award for Salesforce (Regent Award for Salesforce)
New objects have been added to surface the unique identifier for Documents, Tasks, and ISIRs within Salesforce. Additionally, new objects have been added for academic years, payment periods, awards, and disbursement data. Access to this data is controlled by role permission configuration. Clients can control whether term names or dates are displayed, and whether declined, cancelled, estimated, external resource, or ‘academic year 0’ awards are included via configuration options on the Salesforce tab in Institution Setup.
Please note: If you are using Regent Award for Salesforce, you must upgrade to the new version upon your Production upgrade to Regent 5.7 even if you do not intend to use the new functionality at that time. Coordinate this with your Account Manager as you plan your 5.7 upgrade and you will be provided with an updated link to the application for installation in your Salesforce production organization. An upgrade is required to continue current Regent Award for Salesforce functionality.
