6.0 FAQ
Frequently Asked Questions document is not all-encompassing but provides some very basic information to questions that are projected from the client community. Can any client upgrade to Regent 6.0?
- Any client currently using Regent Award may take Regent 6.0 for UAT and ultimately production upgrade.
- Any client currently using Regent Review may take Regent 6.0 for UAT and ultimately production upgrade.
- Any client currently using Regent Access may take Regent 6.0 for UAT and ultimately production upgrade.
- Any client currently using Regent Award may take the Regent 6.0 version of Student Experience for UAT and ultimately production upgrade.
- Any client currently using Regent Review may take the Regent 6.0 version of Student Experience for UAT and ultimately production upgrade.
- Some Regent Access clients may take the Regent 6.0 version of Student Experience for UAT and ultimately production upgrade. Please work with your Account Manager for additional information. Note: All current customer-specific functionality in the legacy portal may not be available in the new Student Experience portal at this time.
- Clients using Regent Award for Salesforce will need to upgrade to the new Salesforce application version in order to continue current functionality.
What is included in Regent 6.0?
The 6.0 release addresses product defects as listed in the “Bugs” section of the Release Notes, and also enhancements and new features including:

What is Regent Fund?
Regent Fund gives Regent Award users a great deal more self-sufficiency for controlling fund eligibility requirements and awarding. It is a 3-part toolset for scholarships, grants, or other awards that empowers users to create eligibility queries, assign ranking or priorities to those results, and to award Funds within Regent. It also provides for custom questionnaires for use as scholarship applications, etc.
Will we use Regent Fund in conjunction with Regent Award?
Regent Fund utilizes underlying Regent Award packaging engine and configuration options to support scholarship or other fund awarding using the new product's query and ranking/priority functionality. Any funds to be awarded using Regent Fund must be configured in both the Packaging Philosophy and Fund Setup sections of Regent Award client configuration.
Once licensed for Regent Fund, additional configuration and functional options will become available to you for the Query, Ranking and Priority, and Awarding Tools (the 'Regent Fund Toolset'). The Query tool can be used independently of the other functionality or with the Awarding Tool. The Ranking and Priority options are only used in conjunction with the Awarding Tool, which also relies on Queries.
Configuration options are detailed in the Release Notes for 6.0. A few setup highlights are that Regent Fund permissions are granted in the 'Tools Permissions' section of Global Permissions, and that you will also need to determine how often you want the data cache Regent uses for the Toolset to refresh. Options are available on the Queries tab in Institution Setup or you can configure a Refresh Cache Data parameter set in the 'System' section of the Process Menu for scheduling.

Can I use Regent Fund with any scholarship?
The Regent Fund toolset can be used with any fund set up in Regent that is not already managed by a custom or Title IV ruleset and for which the necessary data elements are available. Please see Query Tool for more information on what ISIR, SBL, and Regent data fields are available to the eligibility query tool in Regent Fund.
Are there any limitations?
Regent queries can access a broad range of ISIR, SBL, and Regent data fields (see Query Tool for specifics). In an upcoming release, questionnaire responses will also be available to queries but this is not yet available to users. Regent Fund is intended for awards that are processed by the institution, and is not an external scholarship search tool. Additionally, various state awards may have additional externally determined criteria or file integration requirements that are not part of this tool.
How does Regent Fund integrate with Regent Award?
Regent Fund uses the Regent Award Fund, Packaging Philosophy, UDF and other configurations, as well as the Regent Award packaging engine. Users will see Regent Fund awards in the standard Regent Award Academic Plan and Awards tabs.
How do my administrators or Donors see what was awarded?
Regent users with Processing Log or Awarding Tool permissions can view processing run results in the process log or on the Results tab for the specific process in the Awarding Tool. Users with access to either the Awards Tab or the Academic Plan Tab can view individual student awards. Data views can be utilized to pull award information by donor.
Is Regent Fund a separately licensed Regent Product?
Yes. Regent Fund does require a separate license. Please contact your Account Manager for more information.
Does Regent Fund require configuration by the client and Regent?
Yes, a CZ Support ticket must be submitted to request that Regent Fund be enabled for a licensed client. There are also configuration and permissions options for clients to setup as outlined in the Release Notes and documentation on the CZ KB.
Why would we want to delete data from our Regent database?
Some institutions prefer to retain all data indefinitely. Others manage both potential storage costs (including degraded performance due to data bloat) and risks (security, as well as having an auditor or reviewer pull problematic data) by permanently deleting data for which the regulatory data retention period requirements have elapsed. Each institution will weigh the potential future need for the data against the potential costs and risks. The new data retention/deletion options give you control over when data deleted is deleted for students and supports either full deletion of the entire student record or deletion of everything except some bio/demo data, SAP history, and/or selected documents.
Can I use the new 'Program' document requirement option in conjunction with an ISIR triggering requirement?
No, but the new Program option can be used in conjunction with the Fund option which is also available on the Packaging assignment tab in Document Setup.
Are the new Regent Access enhancements for Student Experience available in the older SNAP environment?
The 6.0 Regent Access enhancements listed below are available in Student Experience, not the legacy environment:
- Student database updates from completed Access questionnaires
- New ‘Export Access Database Extract File’ process type
- Student Edit Capability for Satisfied Questionnaires
- Student E-mail Address persistence to database
- Master Access Questionnaire updates for the number in student household and the default value for the residency questions

Must a parent sign an updated Access application after the student made changes?
Regent 6.0 provides an option to Access clients to allow students to edit applications that are already submitted (are in 'Satisfied' status). If this option is enabled and the student only makes changes to student data (such as school selection), parental review and signature is not required. However, if the student changes parent data, then the parent signature will be required on the new transaction application.
We are already live in Student Experience for Regent Award, Regent Review, and/or Regent Access - are the new Menu and Dashboard configuration options available and/or useful to us?
Absolutely! The current order of menu items and dashboard tiles will remain unchanged in Student Experience as you upgrade to Regent 6.0. However, you may go in at any point to adjust the display of these items for your students.
