6.3.0.0 FAQ

Can any client upgrade to Regent 6.3? 

Any client currently using Regent Award may take Regent 6.3 for UAT and ultimately production upgrade.

Any client currently using Regent Review may take Regent 6.3 for UAT and ultimately production upgrade.

Any client currently using Regent Access may take Regent 6.3 for UAT and ultimately production upgrade.

Any client currently using Regent Fund may take Regent 6.3 for UAT and ultimately production upgrade.

Any client currently using Regent Award may take the Regent 6.3 version of Student Experience for UAT and ultimately production upgrade.

Some Regent Access clients may take the Regent 6.3 version of Student Experience for UAT and ultimately production upgrade. Please work with your Account Manager for additional information. Note: All current customer-specific functionality in the legacy portal may not be available in the new Student Experience portal at this time.

Clients using Regent Award for Salesforce will not need to upgrade to a new Salesforce application version in order to continue current functionality. However, an upgrade to the new version is recommended to benefit from improvements in performance and sync logging for diagnostic purposes.  


What Enhancements are in Regent 6.3?

For the new import process to mass adjust tasks, what happens if there is no match for the values?

  • For Task ID and External ID1, the record will be flagged as in error to report in the Process Log.

  • If Assignee values do not pass validation, the record should be flagged as in error to report in the Process Log.

  • If any Priority, Due Date, Status, or Note values are invalid, file should error.

 

How do I add my Institution Name to file names for Regent-created Direct Loan and Pell Reconciliation reports?

The reports are located in the ExportDLReconciliation and ExportPELLReconciliation folders, which will need to be mounted for use.

Clients can work with their Regent account manager to enable the setting using the RS-16429 script, and request the folders be mounted.

How can I change a student's user name/e-mail address for an existing account, as a non-SSO user?

To request the new utility be ran for a student, clients can submit a CZ ticket to RCO/Ops with the following description:

Please execute RS-24023 utility to update StudentX username as follows:

  1. Environment: (StudentX URL)

  2. Current user e-mail address:

  3. New e-mail address:

 

What is the new column 'Change to Existing Award Amount' on the Awarding Tool Results page, Process Log, and export file?

Regent has created this new column to display the amount difference between ‘Existing Award Amount’ and ‘New Award Amount’ (formerly ‘Award Amount.’) The column will include symbols to clearly indicate positive and negative changes to the New Award Amount.

 

If I take this release, what will happen to my existing awards from Funds that are not currently associated with that Fund's Site in Fund Setup?

With this fix, the system will cancel and zero out any existing awards from Funds that are not currently associated with the Fund’s Site in Fund Setup. Institutions are reminded to closely review their Fund configuration and verify Fund-Site setup PRIOR to packaging with this release. Please remember to Reload RNA Setup for any configuration changes.

When can I begin processing 2023-2024 Pell, Direct Loan and TEACH awards to COD?

Two software upgrades are required in order for an institution to process 2023-2024 awards to COD.  First, Regent Award must be upgraded to the 6.3 release, and secondly, COD must also complete their 202302-204 upgrade.  The COD upgrade is currently scheduled for the weekend of April 1-2, so the earliest you may begin processing the new FAY in on April 3, 2023.

Make sure you have reviewed your SAIG message classes for the new year in Regent.  They are set to inherit the Active/Inactive status for the related classes for the 2022-2023 FAY, but do be sure to double check these settings. 

As COD may be in the process of implementing the 2023-2024 changes, it is not advised to request these Rebuild, Reconciliation, and Pell MRR Files between 3/31/2023 and 4/3/2023.

When will the 2023-2024 Pell tables be available in Regent?

The 2023-2024 Pell tables are included in this 6.3 release, and student 2023-2024 Pell awards will update on their first batch packaging after you upgrade to this release.

 

Will my students start getting the 2023-2024 versions of the College Financing Plans immediately upon upgrade to 6.3?

No, each client controls their own College Financing Plan configurations.  When in Communication Setup and configuring a 2023-2024 template, select the 2023-2024 FAY in order to access configuration items related to the new year. 

In order to set up your 2023-2024 College Financing Plan communications, you will need to have each (Graduate vs Undergraduate) communication configured with the appropriate .pdf template, a client-specific e-mail template and client-specific filter requirements.  The student-specific CFP will be attached to the specified email template upon generation of a communication configured with a CFP .pdf template.
