Import Active ISIR Sync Process

Introduction

An Active ISIR Sync import process is available to schools to ensure the ISIR transaction for a Federal Award Year that is being used to award and disburse funds is the same in both the school’s Financial Aid Management system and Regent. This sync process aligns the ISIR transaction for the Federal Award Year used in Regent for awarding and disbursing to the same ISIR transaction for the Federal Award Year in the school’s Financial Aid Management (FAM) system. The Active ISIR Sync process also allows schools to update the verification status (if applicable) if schools have completed verification outside of Regent.

Schools may require the use of the Active ISIR Sync process if any of the following conditions exist:

  • Regent Fund is being used with a separate Financial Aid Management system

    • Schools may choose to import the ISIR sync file on a regularly scheduled basis (e.g. daily or weekly)

  • Financial Aid is being converted from an existing Financial Aid Management system to Regent with existing awarding and/or disbursement for a Financial Aid Award Year

    • Schools may choose to import a one-time ISIR sync file for the Financial Aid Award Year being converted

  • ISIR verification completed outside of Regent

    • If ongoing, schools may choose to import the ISIR sync file on a regularly scheduled basis (e.g. daily or weekly)

    • If converting systems, schools may choose to import a one-time ISIR sync file for the Financial Aid Award Year being converted

Overview

The Active ISIR Sync file is a comma-delimited file that schools can opt to import manually via the Regent user interface or place the file in the sFTP file watch folder to be consumed and processed automatically. To upload from the Regent user interface, select the ‘Import Active ISIR Sync’ option from the Process Type menu on the Import Process screen.

Schools must create the Active ISIR Sync File using the Standard Active ISIR Sync CSV Template provided below.

The Active ISIR Sync process allows csv values within the file to not require encapsulation in double straight quotation marks, except in certain instances. The file uses any comma that exists to separate the values within the file, unless the entire value is surrounded by double straight quotation marks, then it uses the quoted value. If the externalStudentId1 begins with a zero and the value is being updated in Excel, the value must be set as a text field to ensure the zeroes are not removed.

If a comma is provided as part of a value without the double straight quotation marks, the record is not processed and the import process will cease to process any record rows after it in the file. If a double straight quotation mark is provided as part of a value, the double straight quotation mark is always removed if it is the first or last character for the value and is removed if it is not the first or last character of the value unless it has two double straight quotation marks present.
