Student's Actual Academic Year

In the example below, we have a student who will be enrolled in Summer 2015, Fall 2015, and Spring 2016 (Summer is a header). In this example, the school calculates SAP at the end of the student's Academic Year each year. When SAP is calculated for this student in Spring of 2016, RNA will use data from the Summer 2015, Fall 2015 and Spring 2016 terms to determine the student's calculated SAP status; the same terms that make up the student's Academic Year. The SAP status that is calculated in Spring will be applied to each PP in the SAP Review Period. Therefore, if the student has a status of FA Suspended at the end of Spring 2016, the Summer 2015, Fall 2015 and Spring 2016 terms will be updated with an "FA Suspended" SAP status, and non-manual awards for the following Academic Year, consisting of Summer 2016, Fall 2016 and Spring 2017, would be canceled.

""Completes SAY" Option on Term Setup"

A SAY school may have a SAP policy that calculates AY-based SAP at the end of the Spring term ONLY, regardless of whether or not this term ends the student's AY. If a student enrolls in Summer (effectively including Summer in the AY as a trailer) that coursework would be included in the SAP calculation the following Spring. If a SAP policy has the value of ""Completes SAY" Option on Term Setup" under the "Calculated AY-based SAP Using" field on SAP setup, RNA will calculate AY-based SAP for those students, as described in the scenarios below. Note: This option applies ONLY to SAY programs at this time, and will not be applied to any non-SAY programs that are added to the same SAP policy.

In the graphics below, bold red text is used to denote that the SAP calculation will be performed in SPRING each year. RNA will use the "Completes SAY = Yes" value on /wiki/spaces/REM/pages/7012824 to determine which term will complete the student's SAY for SAP calculation purposes.

Example 1: Summer is a Trailer 

In the example below, we have a student who will be enrolled in Fall 2016, Spring 2017 AND Summer 2017. The school will calculate SAP at the end of the student's SPRING term each year. The Summer 2016 term's GPA and Pace data will NOT be used to calculate SAP until the following Spring 2017. Therefore, when SAP is calculated for this student in Spring 2017, RNA will use data from the Summer 2016, Fall 2016 and Spring 2017 terms to determine the student's calculated SAP status. The SAP status that is calculated in Spring will be applied to each PP in the SAP Review Period. Therefore, if the student has a status of FA Suspended at the end of Spring 2017, the Summer 2016, Fall 2016 and Spring 2017 terms will be updated with an "FA Suspended" SAP status on the PP, and non-manual awards for Fall 2017, Spring 2018 and Summer 2017 would be canceled. 

Example 2: Student does not attend Summer 

In the next example, we have a student who will be enrolled in Fall and Spring, but NOT Summer. The school will calculate SAP at the end of the student's SPRING term each year. Therefore, when SAP is calculated for this student in Spring of 2016, RNA will use data from the Fall 2015 and Spring 2016 term to determine the student's calculated SAP status. The SAP status that is calculated in Spring will be applied each PP in the SAP Review Period. Therefore, if the student has a status of FA Suspended at the end of Spring 2016, the Fall 2015 and Spring 2016 terms will be updated with an "FA Suspended" SAP status at the PP level, and non-manual awards for Fall 2016 and Spring 2017 would be canceled. 

Example 3: Summer is a Header 

In the example below, we have a student who will be enrolled in Summer 2015, Fall 2015, and Spring 2016 (Summer is a header). In this example, the school calculates SAP at the end of the student's SPRING term each year. When SAP is calculated for this student in Spring of 2016, RNA will use data from the Summer 2015, Fall 2015 and Spring 2016 terms to determine the student's calculated SAP status. The SAP status that is calculated in Spring will be applied to each PP in the SAP Review Period. Therefore, if the student has a status of FA Suspended at the end of Spring 2016, the Summer 2015, Fall 2015 and Spring 2016 terms will be updated with an "FA Suspended" SAP status, and non-manual awards for Summer 2016, Fall 2016 and Spring 2017 would be canceled. 

The calculations for AY-based 2-step SAP are the same as PP-based 2-step SAP. The same CE buckets are used, but for AY-based SAP, Regent Award will need to SUM the data from the appropriate PPs within the AY to determine the AY-level SAP calculation. So, returning to our examples, above:

• In Example 1 above, Regent Award will sum the CE data available for the Summer 2016, Fall 2016 and Spring 2017 terms to calculate the student's Review Period PACE for the SAP calculation. The GPA data will be provided on the SBL with a SAP Review Period End Date that aligns with the end of the Spring 2017 term.
• In Example 2 above, Regent Award will sum the CE data available for the Fall 2015 and Spring 2016 terms to calculate the student's Review Period PACE for the SAP calculation. The GPA data will be provided on the SBL with a SAP Review Period End Date that aligns with the end of the Spring 2016 term.
• In Example 3 above, Regent Award will sum the CE data available for the Summer 2015, Fall 2015 and Spring 2016 terms to calculate the student's Review Period PACE for the SAP calculation. The GPA data will be provided on the SBL with a SAP Review Period End Date that aligns with the end of the Spring 2016 term.

Required FA Probation Checks

Institutions using annual SAP policies may elect to review students after a single payment period of FA Probation status.  This provides an opportunity to assess progress with SAP Probation Academic Plans or to make other adjustments before the end of the full academic year.  Regent Award supports this requirement by allowing a PP-level SAP status to be provided for a student, mid-AY, after a prior AY-Based SAP Review Period SAP status of FA Probation or FA Suspended.

• If the most recent prior AY-Based SAP Review Period SAP status is Satisfactory:

  • SAP does not need to be recalculated for the student until the end of the next AY-Based SAP Review Period.
  • The subsequent AY-Based SAP Review Period will be awarded and financial aid will be disbursed.
• If the most recent prior AY-Based SAP Review Period SAP status is FA Probation or FA Suspended:
  • If the school has chosen "No" for the Institution Setup option "SAP FA Suspension cancels all future aid":
    • Awards will remain on the student's Academic Plan for the subsequent AY-Based SAP Review Period.
      • FA Suspended Status:  The Financial Aid may not be disbursed.  If circumstances and institutional policy allow, an adjustment to SAP can be made at the end of AY2_PP1.
      • FA Probation Status:  The Financial Aid can be disbursed for the first PP in the subsequent AY-Based SAP Review Period (AY2_PP1).
        • According to institutional SAP policy, student compliance with a SAP Probation Academic Plan can be assessed at the end of the first PP in the next AY-Based SAP Review Period.  The manually provided PP-level SAP status will determine the student's SAP status for future awarding in the AY-Based SAP Review Period.
      • The /wiki/spaces/REM/pages/7012504 allows the school to manually enter a PP-level SAP status for any of the PPs in the next AY-Based SAP Review Period.  
        • If a Satisfactory PP-level SAP status is entered, the student can be awarded financial aid for the remaining PPs in the AY-Based SAP Review Period.
        • If an FA Suspended PP-level SAP status is entered, the student may not receive financial aid for the remaining PPs in the AY-Based SAP Review Period.
        • If an FA Probation status is entered, the student may receive (be disbursed) financial aid for one more PP in the AY-Based SAP Review Period.  SAP must be checked again at the end of the next PP.
  • For students with an FA Suspended SAP status, if the school has chosen "Yes" for the Institution Setup option "SAP FA Suspension cancels all future aid:"
    • Aid for the entire subsequent AY-Based SAP Review Period will be canceled when the student's status is FA Suspended.
    • If the student is then placed on FA Probation for AY 1 (as a result of a SAP appeal), Regent Award will re-instate financial aid for all of the next AY-Based SAP Review Period, but allow disbursement only in AY2_PP1.  If the student then fails SAP at the end of AY2_PP1, the student's financial aid for the remainder of AY2 is canceled.

• The PP level SAP statuses are designed to be provided via the SAP Wizard ONLY.  SBL support was not implemented for this feature (providing a PP-level SAP status for a student governed by an AY-based SAP policy)

Workflow
