Awards Tab

Overview

The Awards tab is used to view and maintain a student's detailed financial aid award information. From the Awards tab, you can view enrollment information, detailed cost of attendance totals, make adjustments to the cost of attendance or to need, view detailed EFC and unmet need information, add, modify and/or view the student's external resources, view detailed award information, view academic summary information, access and modify SAP information, access and calculate Return of Title IV (R2T4) Overview

Term/Payment Period Selection

There are two options for viewing the details by terms or payment periods on the Awards tab. The first is to use the Analyze Loan Period option which allows you to select a loan period and then all the terms/payment periods for that loan period will be displayed. The second option is to check the box on the left side of the screen for those terms that you want to view. Regent recommends using the ‘Analyze Loan Period’ to see the updated results from the most recent packaging run.

For each payment period, the Payment Period FAY indicates the FAY that the Pell Grant and other FAY based awards are associated with. The Academic Year FAY indicates the FAY that the loans or other Academic Year base awards are associated with.

Pell COA

For both term and non-term based programs, the Pell COA will be displayed based upon the Pell COA Setup configuration. 

  • If the amount being used for the PP is the FT Pell COA amount, a new icon will display to the right of the value that contains the letters "FT".

  • If the amount being used for the PP is the LTHT Pell COA amount, a new icon will display to the right of the value that contains the letters "LTHT". 

  • If the amount being used for the PP is an overridden Pell COA Amount (see Pell COA Override), a manual icon will be displayed to the right of the value. 



Cost of Attendance (COA)

For term-based programs, the cost of attendance (COA) will be computed (based upon the COA rules in setup) until Term Start, Census date or End of Term based upon the configuration setting. At the time of the census date (or the start of term), the COA will recalculate based on the units at Census (or the start of term). However, if the packaging isn't successfully completed on the Census date (or the start of term), the system will continue to recalculate the COA until the first successful subsequent packaging occurs. Once the student is successfully packaged, the COA will not be recalculated again.

For term-based programs that use modules, COA items that are set up based upon durational items (weeks, months) are calculated using the student's actual instructional weeks of enrollment within the modules. For monthly items, a factor of 4.345 weeks per month is used to calculate the COA value. COA items that are set up based upon a per term basis, are prorated based upon the instructional months divided by the months in the term to determine the "enrolled percentage" for the term.

If a course adjustment is added after this successful packaging, the COA will not update with the adjustments. In order for the adjustments to take effect, the user will need to select the "Force One Time COA Recalculation" option within the course adjustment wizard, the Cost Adjustment wizard, or the Resource Adjustment wizard.

For non-term programs, there is a setup option to freeze COA recalculation for all except Monthly/Weekly COA items and a second setup option to freeze Monthly/Weekly COA items for slow student progress. The "Force COA" option is not available for non-term programs.

Census COA displays the student's cost of attendance as it existed as of the Census date for the term.

Direct Cost

The direct cost displayed on the award tab is calculated during packaging for the selected loan period, or calculated for the selected payment periods.

When viewing the selected loan period Direct Costs, the amount is from the most recent packaging run. The direct cost amount in the Totals column is displayed for the entire loan period as a whole. Cost amounts are not calculated within each payment period.

When selecting the checkboxes, the screen calculates the Direct Cost by adding the sum of the Direct Cost items (e.g. Tuition and Fees) for the selected term or payment period, along with any Cost Adjustments that are marked as Direct Costs applied to the selected payment period(s).

 

Student Aid Index (SAI)

For 2024-2025 and later FAYs, the Student Aid Index (SAI) replaced the former Expected Family Contribution (EFC).

For term-based programs, the SAI displayed on the award tab is the SAI from the active ISIR. The single SAI value is applied to all loan periods for FAY 2024-2025 regardless of the loan period length.

For students using a Provisional SAI dependency model (dependency status code “Z”), the Award Details display the Provisional SAI value instead of the SAI.

For FAYs 2023-2024 and earlier, the EFC was calculated and displayed.

For term-based programs, the EFC displayed on the Awards tab was the alternate EFC from the active ISIR based upon the number of months in the term as defined in term setup. For non-term programs, the EFC displayed on the award tab is the alternate EFC from the active ISIR based upon half the number of months (converted from weeks in program setup) in the academic year.

For term-based programs that use modules, the alternate EFC months are calculated based on the student's actual instructional weeks of enrollment within the modules and then rounded up to determine the alternate EFC months. A factor of 4.345 weeks per month is used to calculate the alternate EFC value. The system then excludes any periods that the student is not enrolled within a term/academic year.

When viewing awards by loan period, the loan period EFC is displayed based upon the number of months in the entire loan period. The EFC displayed for each of the terms/payment periods in the loan period is the Loan Period EFC / # of Payment Periods.

Unmet Need

The Unmet Need displayed on the award tab is calculated for each individual term/payment period that you select to be displayed. Unmet Cost is calculated by taking the COA for the term/payment period less the SAI for the term/payment period less the resources for the term/payment period less the awards for the term/payment period. For non-need based loans, the award may offset all or a portion of the SAI in this calculation. Exempt awards and resources (such as VA benefits and 529 plans) are excluded from the calculations.

When viewing awards by a selected loan period, the system displays the loan period’s Unmet Need calculated in the most recent packaging run. The loan period’s unmet need is calculated by taking the COA for the loan period, less the alternate EFC for the loan period, less the resources for the loan period, less the awards for the loan period. The unmet need is not displayed for each of the terms/payment periods in the loan period, but rather for the entire loan period. For non-need based loans, the award may offset all or a portion of the EFC in this calculation. Exempt awards (such as VA benefits and 529 plans) are excluded from the calculation.

Census Unmet Need displays the student's unmet need as it existed as of the Census date for the term.
