Employer Tab

The Employers subtab is used to record a student’s employment history by employer. New records can be added using the “Add New Record” button.

Earnings Tab 

The Earnings subtab is used to record a student’s work study earnings. A record in the Earnings grid represents an individual payment transaction. Records can be created manually using the “Add New Record” button or in bulk using the Import Federal Work Study (FWS) process, if the user has the required permissions.

Balance Calculations

The Packaged/Expected Amount, Total Paid Earnings, and Balance calculations display at the bottom of the Earnings subtab. The Packaged/Expected Amount is defined as the total amount of scheduled or paid Federal Work Study (FWS) disbursements that meet the grid filter criteria. Total Paid Earnings is defined as the total of Gross Paid Earnings for the displayed records that meet the grid filter criteria. Balance is defined as Packaged/Expected Amount - Total Paid Earnings.

The Packaged/Expected Amount and Balance calculations allow for grid filtering on Calendar Year, FAY, Fund, and Payment Period. Applying a filter to any of the Source, Payroll Period End Date, Paid Date, Gross Paid Amount, Transaction ID, or Notes columns will hide these fields.

When filtering on Calendar Year, the system checks for scheduled or paid disbursements with a Scheduled Date between January 1 and December 31 of the years that meet the filter criteria. If a disbursement has an Adjusted Release Date, that date is used instead.

Since Total Paid Earnings may include records where the Fund is not Federal Work Study, filtering on the Fund column may be required for an accurate Balance if the institution awards Work Study from other sources, such as State Work Study or Private Work Study programs.
