1 Purpose

5 Procedure

5.1 Unusual Enrollment History (UEH)   

Actors 

  • User with appropriate permissions

  • ISIR 

  • Regent Award 

Pre-condition 

  • ISIRs are imported into Regent and matched to a student.

  • Document is configured for the Unusual Enrollment History Verification Form with initial status of “Received”

  • Task is configured for ‘Review Student Documents’

  • Student’s ISIR has been flagged with Unusual Enrollment History (UEH)

    • 2023-2024 and earlier: ISIR C-codes 359 or 360

Basic Flow 

  1. ISIR is imported with a C-code

  2. Regent Award:

    1. Populates the ‘Unusual Enrollment History Verification Form’ in a “Received” status.

    2. Populates the Review Student Documents’ task in the ‘Review UEH’ task queue.

  3. The user reviews the student’s enrollment and financial aid records to determine if the student has received a Pell Grant or a Direct Loan from the school in the prior 4 award years.

    1. If yes, the user updates the document status to “Satisfied” and closes the task.

    2. If no, the user updates the document status to “Needed” and does not close the task.

  4. Regent Award sends the ‘Missing Information’ communication to the student to notify the student of the document requirement(s) according to the Runbook schedule.

  5. The student completes the ‘Unusual Enrollment History Verification Form’ and

    1. Uploads the document(s) to the Student Portal (at which time, Regent Award will automatically update the document status to “Received”), or

    2. Provides the document(s) in person to the school, at which time the user uploads the documents in Regent Award or manually updates the document(s) status to “Received”).

  6. Regent Award creates the Review Student Documents’ task in the configured task queue.

  7. The user reviews each submitted document for completeness. If the document(s) are satisfactory:

    1. Change the document status to “Satisfied”.

    2. Change the associated task status to “Completed”.                 

Post-condition

  • Student is successfully verified for UEH and ready to be packaged.

Alternative Flow

  1. Documents received from the student are not satisfactory:

    1. The FA Staff changes the document status to “Incomplete”.

    2. Enters a message to the student in the Reasons box.
