1 Purpose

These procedures will guide {INSERT TEAM NAME} through SAIG and FTI-SAIG Setup.

Note: Schools must register their Public IP Address for the Regent Award Application Server from which SAIG/FTI-SAIG processing takes place via FSASchoolCyberSafety@ed.gov to ensure this is a trusted IP address.  The following information will need to be provided: 

  • Name of Institution 

  • Address of Institution 

  • Office of Postsecondary Education Identifier (OPEID)  

  • List or Range of IP Addresses Used by Institution  

  • Information Technology (IT) Contact at Institution (Name, Email, Phone Number) 

Regent Education will provide schools with the appropriate information for the Range of IP Addresses.  However, it is the school’s responsibility to provide this information to the U.S. Department of Education.  

5.1 Adding a SAIG/FTI-SAIG Mailbox

Actors

  • User with appropriate permissions

  • Regent Award

  • Regent Account Manager

Pre-condition (The planning process when adding a new, or updating an existing, SAIG/FTI-SAIG mailbox and documenting other configuration areas that need to be updated)  

  • SAIG Mailboxes do not exist in Regent Award 

  • SAIG and Message Classes configurations are added to [Client] SAIG_Setup_Template 

Basic Flow

Note: The process for the SAIG mailbox and the FTI-SAIG mailbox is the same, except set up is done on separate tabs, and as otherwise noted. The FTI-SAIG mailbox will only be used for the ‘Import ISIR’ process, for 2024-2025 forward.

  1. The user creates a Customer Zone (CZ) ticket requesting Regent to copy [Client] Production data to the QA environment 

  2. Regent Account Manager updates CZ ticket once the restore is completed. 

  3. The user creates a CZ ticket requesting to install the SAIG TD Client on the QA environment. 

  4. Regent Account Manager updates the CZ ticket once the SAIG TD Client is installed. 

  5. The user adds the SAIG Mailbox to Regent Award in the QA environment 

    1. Navigates to Processes  

      1. Clicks on SAIG Credentials under SAIG Processes 

      2. Clicks Add SAIG Mailbox 

      3. Checks Active Mailbox 

        1. Note: Only 1 SAIG and 1 FTI-SAIG Mailbox can be Active in Regent Award at any given time. 

      4. Adds Mailbox Name 

      5. Enters SAIG Account Number (TGXXXX) 

        1. Enters Password 

      6. Consult DPA or PDPA for current test SAIG password 

      7. Selects Network as SAIGPROTALTEST if setting up a SAIG mailbox; Selects Network as FTISAIGPORTALTEST if setting up a FTI-SAIG mailbox

        1. Note: While in QA, make certain this is selected so that it is pointed to your SAIG or FTI-SAIG Test Mailbox 

      8. Selects Available Process Types

      9. Clicks Save

      10. Clicks Message Class Setup

      11. Clicks Edit

      12. Selects the appropriate Message Classes

        1. Note:  Message Classes will only appear according to the Process Types selected above i.e. if Import NSLDS is not selected the Import NSLDS Message Classes will not be available for selection.

        2. Note: All associated Message Classes will be Active by default.

      13. Clicks on the Active box and then deselects the Active box at the top of the screen, this will remove the default Active checkbox from all Message Classes.

      14. Filters to Process Name for each Process Type i.e. type in Import COD into your filter criteria.

      15. Checks the Message Classes that should be Active.

      16. Checks Transmit/ Import Manually, as appropriate.

      17. Continues the filtering on Process Name above for each Process Type selected until all Message Classes are configured.

      18. Clicks Save.

  6. The user validates the updated information in QA.

  7. Once the user validates the configuration is correct in QA, creates a CZ ticket requesting to install the SAIG TD Client on the Production environment.

  8. Regent Account Manager updates the CZ ticket once the SAIG TD Client is installed.

  9. The user adds the SAIG Mailbox to Regent Award in the Production environment.

    1. Adds active SAIG Mailbox password currently utilized.

      1. Consult DPA or PDPA for current active SAIG password.

    2. Selects SAIG Network as SAIGPROTAL if setting up a SAIG mailbox; Selects FTISAIGPORTAL if setting up a FTI-SAIG mailbox.

      1. Note: When in Production make certain this is selected so that it is pointed to your active SAIG or FTI-SAIG Mailbox.

    3. Follows all steps above for adding Message Classes.

    4. Clicks Save.

Post-condition

·       SAIG Mailbox is configured and active in Regent Award

Alternative Flow

  • Edits Process Types

    • Note: When enabling new Process Types (SAIG Credentials Screen) all Message Classes (Message Class Setup Screen) will be set to Active by default.  The user must follow the steps above to edit Message Classes as appropriate.

      • For example, the school has decided to enable Import NSLDS on the SAIG Credentials Screen.  When navigating to the Message Class Setup Screen all associated NSLDS message classes will appear and be marked as Active by default.

  • Edits Message Classes by following the steps in the above Use Case

5.2 Reset Credentials at SAIG

Actors

  • User with appropriate permissions

Pre-condition

  • SAIG password has not expired

    • If the password has already expired, the school’s Destination Point Administrator (DPA) or secondary DPA must call CPS/SAIG Technical Support at 800/330-5947 with their TG number to get the password reset.

Basic Flow

Note: Some schools will not want to use this feature if they plan to maintain their current SAIG Mailbox tool.

The school's TG account password must be reset every 90 days.

  1. The user navigates to the SAIG/FTI-SAIG Mailbox in the Production environment.

    1. Clicks on SAIG Credentials under SAIG Processes.

    2. Clicks Edit.

    3. Enters new password.

    4. Clicks Reset Credentials at SAIG.

    5. Clicks Save. 

Post-condition

  • Password is updated and synchronized

Alternative Flow

  • Users could reset their password outside of Regent Award and use the UI feature Save SAIG Credential in Regent to re-sync the password in Regent Award.

    • Note: If updated outside of Regent Award make certain to update in Regent Award immediately.
