1 Purpose

5 Procedure
5.1 Manually adding a Break for a Student
Actors
User with appropriate permissions
Regent Award
Pre-condition
Student has a student-level break that is not pre-configured in Regent Award, e.g. Leave of Absence (LOA) or Conformation of Return (CORE)
The break was not submitted via the SBL.
Basic Flow
NOTE: The manual addition of a student break should occur only in extenuating circumstances. Every attempt to ensure breaks are being sent on the SBL correctly should occur prior to a manual override.
The User:
Navigates to the Academic Plan tab for the student and clicks on ‘Student Breaks’
Clicks ‘Add Student Break’
Selects break type (i.e. Type = LOA, CORE, Unapproved or Administrate) via the dropdown
Enters ‘Reason for Break’
Enters ‘External Break ID’, if applicable
Selects the ‘Approved’ box, if applicable
Enters ‘Break Start Date’
Enters ‘Break End Date’
Enters applicable notes in the ‘Note field’
Clicks Save
Clicks Repackage OR clicks Close and repackages with the Modify Academic Plan (MAP) Wizard
Clicks Refresh on the Academic Plan screen
Ensures the break bar appears on the Academic Plan
Post-condition
Student’s break is updated in Regent Award.
Disbursements will disburse according to the schools ‘Fund Disbursement During Breaks’ configuration setting.
